Important Rally Hotel Update

I went to the Ritz today to start the finalization process on the hotel arrangements. Met with a lovely and helpful woman who takes charge of group bookings and arrangements.

Here's what I discovered and what I need from you:

-regular room rate is $249, corporate rate the rally participants will receive for booking as a group is $129 (regular non-suite room).

-Person who signs the contract(cough cough DBK cough cough) is liable for any rooms unfilled should we fall below 90% capacity of agreed room amount. Yikes.

-Rooms can always be added if we fill more than we anticipate depending on how booked the hotel is. I don't have to sign anything until ~4 weeks from now.

-People who have booked previously (I know a few of you already have) can have the room rate honored if/when we get this done.

Based on GTJoey's tentative list of participants I originally thought we should do about 150 rooms. However, since I don't want to take a $60k hit on the chin should people back out :)lol) I'm leaning towards 50 rooms.

The reason this is hard to gauge is because until I recieve all registrations I won't know how many rooms you'll need. For example, the first two registrations I received had 4 and 3 person parties respectively. I'm assuming that's two rooms a piece. The next three registrations were 2,2, and 1.

It would be tremendously helpful if you could private message me in the next few days how many hotel rooms you intend to get, just so when we have to sign the agreement, I can have a FIRM idea of the minimum SAFE number of rooms to agree to.

We could always just say screw it and book on an individual basis, but then the rate will vary depending on hotel booking needs (remember, it's the week prior to the dream cruise), and there is no garuantee exactly how many rooms we can get.

No PM for me, protect yourself and have everyone lock in their room with a deposit. I have no problem giving you or RC a CC#. No reason for you to have any exposure. We should pitch in a registration fee to cover any out of pocket expense for you and Joey.

nothing wrong with a group rate, just the minute you say your in, you back in with the green. let Dave define what refund policy exists, and once declared that is the law. I have no problem paying a registration fee to defer phone calls, printing and stuff... I do expect that Ford can deliver a goody bag etc.

I agree with bony, we're all big boys here! This is supposed to be fun, Dave, why sweat cancellations?

FYI: The Mrs. and I will be downtown at the Renaissance (GM!!!) facility the entire week, as it stands now, so no need for a reservation for us. Thanks again to you and gtjoey for the heavy lifting on this!!!

Hotel registration

My company does user meetings every year. Make everyone directly register with the hotel and individually guarantee their rooms with a cc. Give us a lock in date and we will start taking rooms. That takes all the pressure off you guys. We would have to tell the hotel what group we are with to get the rate. Too simple.

I'm trying to see how many of my svt buddies want to come from Texas b4 locking in rooms. I'll also send my registration once I reveive confirmation from them.

Well, we're officially easily gonna surpass the 50 rooms I think :lol I came home today to a stack of 12 more registrations to add to the 10 I got the first 2 days.

I see some California fellas aren't bringing their GT's. It'd be much more fun if you did :biggrin Talk to Awsum GT and see what he's got brewing out there. That's alright though, because I've already received registration for an individual bringing BOTH of his GT's, and a pm indicating another individual will be doing the same.

Whoa what a party this thing is gonna be!


I'll talk to the Ritz about just having individual garauntees. I'm sure we could all really care less about the rate, but I just want to be sure we get everyone that wants in into that hotel...

Thank you for your work.

I have to say a hundred bucks here and there won't break the bank. However, if we let the Ritz know how many of us are coming it would be nice to have the preferred rate.

Yes, cheaper is definitely better in this instance.

However, I think as I understood from Shelby we may not even have to pay the $249 or even close as long as we book largely in advance. Hotel booking needs drive the rate. I will clear that up more tomorrow.

What's the status of the Ritz. Is that where we are staying? I'd like to go ahead and get that item behind us and start making reservations.
